Through partnerships and associations we can supply suitably qualified experts to make recommendations and ensure "worlds best practices" are achieved in the design; construction and refurbishment of an arts/records repository. Conservation advice can also be applied to the manual handling and packings of items that are to be relocated.
Through associations and partnerships with storage engineers we can offer a storage system design service. Designs and layouts are done using the latest technology and storage systems and are based on the Australian Standards Specifications. All documents and specifications are compiled in standard measurements so that they can be put out to the marketplace as a tender to procure the appropriate storage system.
Briefing sessions are given to all staff two weeks prior to a relocation, some topics discussed are IT preparation, the packaging and labelling of items to be relocated, roles and responsibilities for the relocation, security access to the new site and OH&S issues when packing and unpacking.
Security is an issue that is sometimes overlooked when contemplating a relocation. We will advise on the level of security required on a case-by-case basis. This could include static guards, security escorts, armed escorts or security crates.
Security also covers the distribution and recovery of security passes and building keys allocated to staff.
Relocating is a time when most businesses look at reviewing what filing should be kept on site and what filing could be archived off site. We help develop a schedule for archiving, culling, document destruction and rubbish removal. We work with the record management, facilities group, departments and the OH&S representative to ensure a coordinated approach.
Move coordinators are people who represent individual business units within your organisation. These coordinators are used as a conduit to relay information from the project team to all staff and vise-versa. Ownership of the project is critical to its success and the Move Coordinators give a voice to staff so all issues can be addressed and answered.
Most businesses find relocating an ideal time to make changes to the structure of the business and the way it operates. This could include people going from offices to work stations, just by reorganising who sits next to whom. We will highlight and guide you through the procedures that need to be reviewed and how they should be communicated to your staff.
OH&S is a major issue for all businesses but it is even more important around the time of a relocation. We ensure that all issues from staff archiving, evacuation procedures, to full on-site inductions are addressed.
To ensure that the IT and communications systems operate from day one we meet regularly with the groups who are responsible for these areas and discuss the progress of the project. We then identify and action any potential problems that may arise.
When developing the relocation strategy, we also identify the areas of potential risk and put in place protocols and back up contingency plans to minimise any disruption to your business.
A relocation strategy is developed once we have a full understanding of your requirements. The strategy could be driven by one or all of the following points; lease, building completion, business work load, building access, or IT issues.
The review of the architectural drawings is imperative to ensure that correct allowances have been made for the allocation of storage systems, utility and breakout areas and personal space.
What we can do for you....
A storage review involves an evaluation of all the existing filing and records areas. We then work in closely with the individual departments and architect to ensure that enough storage space is allocated at the new site. The storage review can be broken down to a shelf-by-shelf allocation.
In close consultation with you, we develop a document that accurately details your move requirements. The tender would include information like, what items are moving, when the move will take place, what assistance is required with packing and unpacking, and building access. We then invite removal organisations to tender for the relocation based on this document and a site survey. The document is very comprehensive and will reduce your risk of exposure to variations.
We can advise on the various options available for storage, auction or disposal of surplus items. These options vary from an on site auction to removal of goods to a suitable auction house. This will usually be determined by the building owner's restrictions regarding on site auctions or how quickly you need to vacate your old site. We can also offer a full asset management package which caters for storage, asset depreciation and asset disposal.
Collection mapping is done using previous and current information on collection sizes. This information allows us to correctly plot and plan for future collection growth. This planning and mapping of collections is done in close consultation with you to ensure that all relevant and current information is captured, ensuring that project is delivered successfully.
Full time supervision of the relocation ensures that all your move requirements are met. It also allows us to make on-the-spot decisions if unforeseen situations arise such as; lift break downs, damage furniture, lost items, vehicle break down, security issues or even just building access. On site supervision of the removalist also reduces the risk of additional charges or variations.
At the complexion of the project we will handle all post contract negotiations with suppliers regarding variations or additional work. We will also ensure that any damage to property or furniture is promptly repaired.
